How do I track stock and see which products are running low?
Turn on stock management so the store counts quantity and stops selling at zero, and learn where to find products that are running low.
In this article
When stock management is on for a product, the store counts the available quantity, reduces it automatically with every order, and stops selling when it hits zero. If you leave it off, the product sells without any limit.
Turning on stock for a product
- Open the product (new, or Edit).
- Switch on the Stock & quantity card.
- Fill in the fields:
- Available quantity: how many pieces you have now.
- Low-stock alert threshold: at or below this number, the product is marked Low QTY. If you leave it empty or enter 0, the threshold is 5.
- Minimum order qty: the fewest pieces a shopper can order.
- Maximum order qty: the most in a single order. “0 means unlimited”.
- Publish the product or save your changes.
Products with variants have a quantity and alert level per combination instead of this card.
What shoppers see
- When stock runs out: “Sold out”, and the add-to-cart button is disabled.
- When 5 or fewer are left: “Only N left”.
- If they try to order below or above your limits: a message such as “Minimum quantity allowed for this product is” or “Maximum quantity allowed for this product is”, followed by the number.
- If they order more than is available, a “not enough stock” message with the product name.
Note: the minimum and maximum order limits only apply while stock management is on. If you switch stock off for a product and save, the quantity and limits are reset to zero, so you'll need to enter them again if you switch it back on.
Where to find products that are running low
In the product list
- The Stock column shows each product's state: In Stock, Low QTY or Out Of Stock, or Not tracked if stock is off.
- Once at least one product tracks stock, the In stock, Low and Out filters appear.
- If products are out or running low, a to restock chip with their count appears above the list — click it to see them.
- Under Sort by, choose Stock: lowest to bring the lowest quantities to the top.
On your dashboard home
You'll see an alert such as “3 low stock items”. It counts products with 5 or fewer pieces (not your own alert threshold). Its Manage Stock button opens the product list — from there, choose the Low filter.
Why does the dashboard number differ from the Low filter?
- The dashboard alert uses a fixed 5 for every product, and it also counts products that are completely out.
- The Low filter in the product list uses each product's own threshold, and out-of-stock products go under Out instead.
Note: low-stock alerts are shown inside your dashboard only (the product list and the dashboard home). No separate email or notification is sent to you at the moment, so check the list regularly.
Restocking
Open the product with Edit and change the Available quantity. On the edit page the new number saves automatically and appears in your store right away.
